Connecting sales to accounting

The same amount is typed three times: on the receipt, in the sales sheet and in the accounting software. What changes when sales connects straight to accounting?

In a company that sells on instalments, one payment passes through several hands. A rep or customer care collects it, it goes on a receipt, then into the sales sheet, and then an accountant types it again into the accounting software. Three entries for one number, and three chances for a mistake. That is why connecting sales to accounting is one of the steps that saves the most time and prevents the most disputes.

Where do the numbers get lost?

The mistakes are rarely big, but they are frequent and draining:

  • A contract number is mistyped, and the amount lands on another customer.
  • A receipt reaches accounting late, so a customer who paid shows as overdue.
  • The customer statement in sales does not match the accounting software.
  • Month-end turns into days of manual reconciliation.

Worst of all, the customer is often the first to notice, when someone calls to chase an instalment they already paid.

A receipt’s journey when the systems are connected

A receipt’s journey from collection to the accounting entry
The receipt is recorded once, then approved, and reaches accounting without retyping.

At Mithaq Real Estate, SALYSS Accounting Connector sits between the internal operating system and the Areeb accounting system. The journey starts when money is collected: the receipt is recorded directly against the customer’s contract. Accounting reviews and approves it, the entry is posted to Areeb without anyone typing it again, and the balance appears on the customer’s statement.

Why approve before posting?

Fully automatic posting might look faster, but it is not always right. The accountant is responsible for the figures and should see a receipt before it enters the books. So the connector is designed to cut manual entry while leaving the approval decision with accounting. The speed comes from removing duplication, not from skipping review.

The numbers stay even when the link stalls

Any link between two systems can stall sometimes: a connection drop, or maintenance on the other side. Our rule is simple: if figures cannot be refreshed, the last correct figures stay visible with the date of the last update, instead of disappearing or showing “unavailable”. Sales can carry on working and know exactly how current the numbers in front of them are.

One picture for management

When sales connects to accounting, management sees one picture: what was sold, what was collected, what was approved and what is pending. Nobody has to ask whether a figure comes from sales or from accounting, because the two figures have become one.

What changes in each department’s day?

  • Reps and customer care: they record the receipt once against the customer’s contract and see an up-to-date balance before any call, so nobody chases a customer for money already paid.
  • The accountant: instead of retyping receipts, they review a clear list of what awaits approval and spend their time on the review itself.
  • Management: sees actual collections day by day, not at month-end after reconciliation.
  • The customer: gets a correct statement and deals with a company that knows what they paid without having to prove it.

Before you connect

  • Align contract and customer numbers across both systems; they are the key the link is built on.
  • Decide who approves and when, so receipts do not pile up waiting for someone.
  • Start with one type of transaction, such as instalment receipts, then add others.

The accounting link is part of SALYSS Realty (page in Arabic), and it can be built for other businesses depending on the accounting system in use. Book a free consultation to review how figures move through your company.
